Roles and Responsibilities
Core Area Description
Executive Support: Manage and coordinate all communication, correspondence, and documentation on behalf of the Director including confidential and time-sensitive matters.
Meetings & Follow-ups: Schedule, organize, and document meetings; prepare agenda notes and minutes; track deliverables and ensure timely follow-up of action points.
Calendar & Travel Management: Maintain the Directors calendar, plan daily schedules, and organize all travel logistics (tickets, hotels, cars, visas) for domestic and international trips.
Office Coordination: Liaise with internal teams, vendors, and external stakeholders to ensure seamless coordination and execution of office and project tasks.
Documentation & Recordkeeping: Draft letters, take dictation, prepare professional correspondence, and maintain a well-organized filing and record system (including safekeeping of important agreements).
Administrative Support: Handle general office administration and assist in personal or professional tasks as may be required by the Director from time to time.
Confidentiality & Discretion: Maintain complete confidentiality in all professional dealings and act as the communication bridge with maturity and integrity.
Desired candidate Profile
- Pleasant personality with excellent command over spoken and written English
- Strong organizational and multitasking skills with attention to detail
- Proficient in MS Office and basic digital tools with AI knowledge
- High degree of discipline, reliability, and ownership of assigned responsibilities
- Willingness to learn and adapt to diverse opportunities
- Ability to maintain composure and efficiency in a dynamic work environment
- Prior experience assisting senior management or Directors will be an advantage
- Preferred age group 25-35 years
